How to Send a Mass Text to Customers (2026 Guide)
A step-by-step guide to sending a mass text: getting consent, choosing a number type, importing contacts, personalizing your message, and managing replies.

What counts as a mass text
A mass text is one message sent to many recipients at once, where each person receives it as a private, individual text. Done right, a recipient cannot tell it went to anyone else: it arrives from your business number, reads like a personal message, and their reply comes back only to you.
That last part matters. A mass text is not a group chat. In a group chat, everyone sees everyone else's number and every reply. For business messaging (sales announcements, appointment reminders, shift offers, event updates) you want individual delivery, not a group thread.
Before you start: get consent
US law and carrier rules require that recipients agree to receive your texts before you send them. For marketing or promotional messages, the TCPA requires prior express written consent: a signup form, a checkbox at checkout, a text-to-join keyword, or a signed form all work. Keep a record of who consented, when, and how.

Step 1: Pick how you'll send
There are three realistic ways to text a large list:

Step 2: Register your number
US carriers require every business sender to verify who they are and why they are texting. On a platform, this means completing a registration profile: your legal business name, EIN, website, sample messages, and a description of how people opt in.

Step 3: Import your contacts
Export your contacts from wherever they live today (a CRM, a spreadsheet, a booking system) as a CSV with at least a phone number column. A first-name column is worth including for personalization.
- Map your CSV columns to contact fields, including any custom fields you need.
- Let the importer validate and format every number, and deduplicate the list.
- Import opt-out status if you have one, so past opt-outs are honored.
- Organize contacts into lists (by location, role, interest) so you can target sends.
Step 4: Write and personalize your message
Short, specific, and personal wins. A good mass text:
- Identifies your business in the first line, since recipients may not have you saved.
- Uses merge fields like {first_name} so each message reads like it was written for the recipient.
- Has one clear call to action: reply YES, tap a link, show this text.
- Stays inside one or two segments when possible. An SMS segment is about 160 characters; longer messages cost more credits. Emojis and special characters reduce the per-segment limit.
- Includes opt-out language in promotional sends, such as "Reply STOP to unsubscribe."
Step 5: Test, then send
Always send a test to your own phone first. Check that merge fields resolve, links work, and the message does not split into more segments than you expected. Preview with real contact data if your platform supports it.

Common mistakes to avoid
- Sending before registration is approved. Unverified traffic gets filtered by carriers and can get your number flagged.
- Blasting a stale list. Old numbers mean failed deliveries and complaints. Recent, consented contacts perform dramatically better.
- Writing email-length messages. Every 160 characters is another segment. Say one thing, clearly.
- No plan for replies. If people answer and nobody responds, you burn the trust the channel is built on.
